SystmOne GP is used by practices across England. It helps maximise QOF points, streamline work processes and most importantly, allows clinicians to concentrate on patient care. It has all the functionality you need including: intuitive appointments, protocols, advanced clinical tools and reports for commissioning & monitoring, and full integrated document management with OCR.

SystmOne Introduction

Aim: To provide staff with a basic overview of SystmOne and provide the skills required to use all of the communication tools within it

Objectives:

  • Log on and off SystmOne
  • Lock SystmOne to prevent use by another user
  • Change user when the system is locked
  • Have an understanding of the layout of the SystmOne home screen
  • Use the SystmOne help facility
  • Navigate around the different parts of the system
  • Open/close and navigate within patient records
  • Have an understanding of the significance of saving or discarding a patient record
  • Open multiple patient records at the same time
  • Use the panic button feature
  • Send, update and reply to Tasks
  • Send, reply, forward and delete Notifications
  • Send and receive instant messages
  • Practice application of the training by carrying out a consolidation exercise

SystmOne Consultation Skills

Aim: To provide staff with the necessary skills to record a patient/clinician contact and view data in a patient’s clinical record

Objectives:

  • Understand how data is stored within an Event in the New/Tabbed Journal
  • Change the details of an Event in the Journal
  • Start a consultation from a relevant place within SystmOne
  • Explore the way the system is designed to display patient information
  • Enter a comprehensive consultation that represents a patient/clinician contact
  • Use Data Entry Templates to enter data
  • Amend a previously recorded entry
  • Delete a consultation that has been entered in error
  • Mark information in the clinical record as private
  • Practice application of the training by carrying out a consolidation exercise

SystmOne Clinical Prescribing

Aim: To provide clinical staff with the skills to prescribe and manage medication within the system

Objectives:

  • View current and past medication in the patient record
  • Add a new repeat medication to the record
  • Record medications given elsewhere e.g. Hospital
  • Issue a repeat or acute medication
  • Print and reprint prescriptions
  • Re-authorise / re-start / re-prescribe medication
  • Amend, Mark In Error and Stop Medications
  • Complete medication reviews
  • Link medications to a diagnosis
  • Explore the way the system is designed to view details of medication
  • Record allergies and sensitivities
  • Practice application of the training by carrying out a consolidation exercise

SystmOne GP Registrar Training

This course is for Registrars who are new to SystmOne or would like a refresher on the basic every day functionality. At the end of the day you will be fully equipped to manage consultations and prescriptions and competently move around the patient record.

SystmOne Patient Record - Viewing Data

Aim: To provide staff with the necessary skills to view data within a patient’s clinical record.

Objectives:

  • Identify the clinical and administrative tree.
  • Understand the structure of the New/Tabbed Journal and how events can be defined.
  • Find and view information within the patient record.
  • Practice application of the training by carrying out a consolidation exercise.

Suitable for: Admin staff who require the skills to view data within a patient record e.g. looking for lab results or hospital letters.

Aim: To provide staff with the skills required to create simple reports which identify patients that match a single clinical criteria and/or demographic data

Objectives:

  • Access and understand the layout pf the clinical reporting screen
  • Build basic reports to identify single clinical criteria e.g. Read Codes or Medications and report on demographic data
  • Run reports and view the results
  • Produce a list of patients that are found in a report
  • Understand the cut-off period for reporting on clinical data

  • Run reports and view the results
  • View a list of the patient’s found in a report

Aim: To provide admin staff with the skills to manage medication within a patient record

SystmOne Data Entry Templates

Aim: To provide staff with the skills required to create, publish and use data entry templates

Objectives:

  • Access and understand the layout of the Template Maintenance Screen
  • Create new templates
  • Understand the different data entry tools available within a template e.g. tick boxes, drop down menus and code browsers
  • Amend and delete existing templates
  • Copy and amend existing system templates e.g. QoF templates
  • Understand how to publish templates for use within a single unit or an organisational group
  • Make templates available for use via the clinical tree and/or the toolbar
  • Run audits on user logins
  • Access and use templates within a patient record
  • Practice application of the training by carrying out a consolidation exercise

SystmOne MS Word Letter Templates

Aim: To provide staff with the skills to be able to create and manage letter templates using MS Word integration for recalls, referrals, patient letters and appointment Letters. Staff will also learn how to send referral letters, patient letters, recall letters and appointment letters using the MS Word Integrated Word Templates

Objectives:

  • Understand the differences between the different types of letters used in MS Word Integration
  • Know when to use different Data Sources within a template to enable specific mail merge fields
  • Create letter templates using the appropriate mail merge fields to include data from the patient’s record
  • Be able to amend and delete letter templates
  • Be able to send and manage referral letters within a patient record
  • Be able to send general letters from a patient record
  • Be able to send appointment letters directly from an appointment rota
  • Be able to send recall letters using the Recall Letter Generation report
  • Be able to send letters from a list of patients found via Clinical Reporting
  • Be able to view and filter letters within a patient record

Aim: To provide staff with the skills to create, publish and manage protocols

Objectives:

  • Create, amend, publish and delete protocols
  • Understand the difference between Branches and Outputs nodes and when they should be used
  • Use triggers to launch protocols automatically
  • Use triggers to limit the use of protocols to specific staff
  • Understand the use of filters to limit the patients affected by a protocol
  • Use the F12 launcher
  • Have an understanding of variables and their use with numeric coding
  • Practice application of the training by carrying out a consolidation exercise

Suitable for: Staff who need to manage data entry and alerts at a practice level

Pre-requisites:

  • An understanding of clinical reporting is essential

SystmOne Questionnaires

Aim: To give staff the skills required to create, manage and publish questionnaires in SystmOne

Objectives:

  • Create, manage and amend questionnaires
  • Publish questionnaires locally, to an organisation group and make them available for online use by patients
  • Associate Read codes with answers to questions to facilitate data entry in the patient’s record
  • Create and manage “Scoring Groups” to group answers together to form a final score e.g. PHQ9 questions
  • Use and manage questionnaires within the patient record
  • Practice application of the training by carrying out a consolidation exercise

Suitable for: Staff who need to design questionnaires for patients to complete either with a clinician or online to facilitate data gathering

Pre-requisites:

  • A basic understanding of Read coding is essential
